Who We Are
Greenfy Inc. ("Greenfy", "we", "us", or "our") is an engineering firm based in Toronto, Ontario, Canada. We design and install solar photovoltaic (PV) systems, battery energy storage systems (BESS), and provide ASHRAE-standard energy audits for residential and commercial clients across Ontario.
This Privacy Policy applies to all personal information collected through our website at greenfy.ca, our online contact forms, solar calculator, and any related digital services we operate.
We are accountable for the personal information under our control and have designated a Privacy Officer responsible for our compliance with this policy and with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Information We Collect
We collect personal information only to the extent necessary to provide our services and respond to your inquiries. The types of information we may collect include:
Information you provide directly:
- Contact details: Name, email address, phone number, and mailing or property address when you submit our contact form, solar calculator quote request, or energy audit intake form.
- Property details: Square footage, province/region, utility provider, monthly electricity bill, roof orientation and shade estimates — entered into our Solar Sizing Calculator to generate a preliminary assessment.
- Project details: Information about your energy goals, existing electrical systems, or specific project requirements shared in the message field of any form.
- Communications: Emails, phone records, or messages you send us directly.
Information collected automatically:
- Usage data: Pages visited, time on page, referring URLs, browser type, and device type — collected via standard server logs and analytics.
- Cookie data: See Section 5 for full details on the cookies we use.
- IP address: Logged automatically as part of standard web server operations.
We do not collect sensitive personal information such as financial account numbers, SIN, health data, or government IDs through our website.

How We Use Your Information
We use the personal information we collect for the following purposes:
- To respond to inquiries: We use your name, email, and phone number to follow up on contact form submissions and provide the information or proposals you requested.
- To deliver solar assessments and quotes: Property and energy data entered into our calculator is used to generate a preliminary sizing estimate and, if you request a quote, to prepare a formal engineering proposal.
- To send transactional emails: After submitting a form, you will receive an automated confirmation email at the address you provided. These are service-related and are not marketing emails.
- To improve our website: Aggregated, anonymised usage analytics help us understand how visitors interact with our site so we can improve the experience.
- To comply with legal obligations: We may retain certain records as required by Canadian tax law, professional engineering regulations, or other applicable legislation.
- To communicate important updates: If you are an existing client, we may contact you about project updates, incentive programme changes, or regulatory developments relevant to your installation.
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

Legal Basis for Processing
Under PIPEDA, we collect and use personal information on the following bases:
- Consent: When you voluntarily submit a form on our website, you consent to the collection and use of your information as described in this policy. You may withdraw consent at any time (see Section 8).
- Contractual necessity: To perform services you have engaged us for, such as preparing engineering proposals, conducting energy audits, or managing an active solar installation project.
- Legitimate interests: For anonymised website analytics that help us improve the site experience, provided these interests are not overridden by your privacy rights.
- Legal obligation: Where retention or disclosure of records is required by law, professional standards bodies (e.g., Professional Engineers Ontario), or government programmes such as the Canada Greener Homes Grant.

Our website uses cookies — small text files stored in your browser — to provide a functional and improved experience. When you first visit the site, a consent banner allows you to accept or decline non-essential cookies.
Cookies we use:
- Essential cookies (
gf_cookies): Records your cookie consent preference so the banner does not appear on every visit. Duration: 1 year. Required for the site to respect your choice.
- Functional cookies: Used internally to remember calculator state within a single browser session. No personal data is stored in these cookies.
We currently do not use third-party advertising cookies, retargeting pixels, or social media trackers on our website. If this changes, this policy will be updated and new consent will be sought.
You can disable or delete cookies at any time through your browser settings. Note that disabling essential cookies may affect your experience of the site.
Section 06
Third-Party Services & Disclosures
To operate our website and deliver services, we engage trusted third-party service providers. These providers act as data processors on our behalf and are contractually prohibited from using your data for their own purposes.
- Web3Forms — Processes form submissions from our contact and intake forms. Data transmitted to Web3Forms is used solely to forward your submission to our inbox. Privacy Policy ↗
- Resend — Delivers transactional confirmation emails to you after form submissions. Your name and email address are transmitted to Resend for this purpose only. Privacy Policy ↗
- Google Fonts — Loads typefaces from Google's CDN. Google may log your IP address as part of this request. Privacy Policy ↗
We may also disclose personal information where required or permitted by law, including to:
- Regulatory bodies (e.g., Professional Engineers Ontario, IESO) as required by applicable rules;
- Government incentive programme administrators (e.g., Canada Greener Homes) as necessary to process applications on your behalf;
- Law enforcement or courts where we are legally compelled to do so.
Note on data location: Some of our third-party providers store data on servers outside Canada (including in the United States). By submitting information through our website, you acknowledge that your data may be processed in these jurisdictions, which may have different privacy laws than Canada.
Section 07
Data Retention
We retain personal information only as long as necessary for the purposes for which it was collected, or as required by law.
- Enquiry and quote data: Retained for up to 2 years from the date of your last contact, to allow follow-up and to reference prior discussions.
- Active project files: Retained for the duration of the project and for 7 years afterward, in accordance with professional engineering record-keeping requirements in Ontario.
- Financial and contractual records: Retained for a minimum of 7 years as required by the Canada Revenue Agency and Ontario corporate regulations.
- Website analytics data: Aggregated and anonymised; no personal identifiers are retained beyond standard server log rotation (typically 90 days).
When personal information is no longer required, it is securely deleted or anonymised in accordance with our data destruction procedures.

Your Rights
Under PIPEDA and applicable Ontario privacy law, you have the following rights with respect to your personal information:
- Right of access: You may request a copy of the personal information we hold about you, along with information about how it is being used.
- Right to correction: If the information we hold is inaccurate or incomplete, you may request that we correct it.
- Right to withdraw consent: Where our processing is based on your consent, you may withdraw that consent at any time. Withdrawal of consent will not affect the lawfulness of processing prior to the withdrawal.
- Right to complain: If you believe your privacy rights have been violated, you may file a complaint with the Office of the Privacy Commissioner of Canada.
To exercise any of these rights, please contact our Privacy Officer using the details in Section 12. We will respond to verified requests within 30 days.
Section 09
Security
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, disclosure, alteration, or destruction. These include:
- HTTPS/TLS encryption for all data in transit between your browser and our website;
- Access controls limiting who within Greenfy can access personal data, on a need-to-know basis;
- Use of reputable third-party service providers with their own security programmes (see Section 6);
- Regular review of our security practices as our systems evolve.
While we take security seriously, no method of electronic transmission or storage is 100% secure. If you have reason to believe your interaction with us is no longer secure, please notify us immediately at info@greenfy.ca.
Section 10
Children's Privacy
Our website and services are directed at adults and are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will take steps to delete it.
Section 11
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will update the "Last Updated" date at the top of this page.
We encourage you to review this policy periodically. Continued use of our website after any changes constitutes acceptance of the updated policy.
